Subject Access Request

This is a letter that you can write to an organisation to see a copy of the information that they have about you. You can do this thanks to the 1988 Data Protection Act. The Information Commisioner's Office has a short Guide for Data Subjects.

You send the following letter to your correspondent at the organisation. If you do not know anyone send it to their registered address. If you knows the name of their Data Controller that is even better.

Ref: Data Protection Act. Account/Your-Reference: 1234567890

Dear Sir/Madam,

I wish, under section 7(1) of the 1998 Data Protection Act, to make a Subject Access Request;
ie I wish to see a copy of all the information that your organisation holds about me.
This should include explanation as to how any automated decisions about me have been made.

You should promptly pass this request to your organisation's Data Controller, you have 40 days to respond.

I enclose a cheque for £10 to pay for this.

Yours faithfully,

Keep a copy of this letter and proof of postage.

The paragraph about cheque for £10 you might replace with:

  Should you require a fee from me then please contact me as soon as possible.

However this may be used as an excuse for delay. It depends on how urgent the request is and how valuable #10 is to you.

Please also ensure that copies of all clerical correspondence is also included.

You should promptly pass this request to the CSA's Data Controller, you have 40 days to respond.
